1. Opening remarks/Approval of minutes

  • Anne V welcomed everyone and introduced the agenda.
  • Minutes of Nov. 2, 2005 conference call were approved.
  • Irene M will send the minutes to ICISG members by listserv and be post them on the ICISG website.

 

2.  Memberships

  • Irene M will follow up with the 2 new ICISG membership applications to request more information about the organizations. The applications will be reviewed at the next conference call.
  • Chris T advised the group that the listserv name will be changed on January 11, 2006. The new listserv address is  icisgmembers@icisg.org. Members will be re-subscribed automatically.
  • Irene introduced the survey results, as distributed prior to the conference call.

3.  CIS Tool Box

  • Board members will review the final version of the CIS Toolbox by February 15. Chris T will edit the final comments before formatting for the web.
  • Board members will also send Marion ideas for exercises for the pre-conference course related to their respective sections by February 15.
  • It was confirmed that the CIS Tool Box will reside on the NCI server and the outline will be available from the ICISG and UICC websites. Access to the Toolbox content from the ICISG and UICC website will be made via registration and password.
  • The CIS Tool Box will be on the development site by mid-march 2006 for testing.
  • The CIS Tool Box will be officially launched just before the CIS pre-conference course, July 8th, 2006.
  • Ana O will let the Board know who from UICC will attend the launch and facilitate the coordination of this event with Chris, Irene and Anne.
  • Ana O confirmed that an article on the CIS Tool Box launch could be published in the June UICC newsletter.

 

4. CIS Pre-conference Course

  • Ana O stated that the application deadline for the scholarship program had been extended. The scholarship program was also eligible for the pre-conference course participants. UICC will confirm scholarships in February. Ana O is looking into additional funding for five or six participants.
  • Ann O confirmed that as of January 1, the UICC had received requests from 6 countries to attend the pre-conference course. Irene M. stated that Japan and Singapore were also interested in attending. The countries interested are: Lebanon, Malaysia, Mexico, Netherlands, Romania, Uruguay, Japan and Singapore.
  • Marion M will draft a pre-registration form for the course and send to Ana O for comments.
  • Ana O will provide profiles (cancer stats etc) of each country attending the pre-conference course.
  • It was agreed the there would be a rehearsal of the course by board members on July 7th, 2006 at 9AM in Washington. Anne V will reserve a room.
  • Ana O offered to prepare a PowerPoint presentation template for the course. Ana O. will send the draft to Anne V. and Chris for approval. This template would be used by all course presenters.
  • Depending on the launch, the course start time may have to be postponed to 10AM.

4. Exhibit and facilities

  • Catherine D. will be in charge of the exhibit, displays etc.
  • Catherine D and Doreen A will work on an ICISG pamphlet for the UICC conference.
  • Doreen A has agreed to print the brochure for the exhibit.
  • A lap-top computer will be required at the booth to display the CIS ToolBox to conference delegates
  • ICISG banner was discussed as a possibility.
  • The CIS Tool Box pamphlet will be co-branded with UICC. Marion M., Chris T., and Ana O will prepare a draft.
  • Anne V will request rooms for various meetings

5. UICC 2006 conference – ICISG program

  • Anne V. took the ICISG Board through the conference schedule.
  • Anne V reminded the Board that extended summaries (500-1000 words) are required by April 2006.
  • Draft of the extended summaries should be forwarded to the workshop moderators by February 24.
  • Moderators will send back comments by March 31
  • Final draft of all extended summaries will be distributed to all Board members by April 15
  • ICISG presentations will be done on ICISG Power Point template.
  • Marion M, Chris T, Doreen A, Mary Anne B, Monika P and Anne V will review CIS abstracts for UICC.

Key elements of a successful CIS

  • Monika, Ingrid and Cora will coordinate their presentation with Flora and send the draft extended summary to Marion and Chris by February 24.
  • The final summary will be translated in French for presentation by Ingrid, Philippe, and Robert (Canada). Anne V will be the moderator.

How physicians and CIS work together to serve cancer patients

  • Mary Anne, Catherine and Doreen will draft the extended summary, including presentations by Al Marcus, Michael Jefford and Antonia Dawson by February 24. Catherine and Doreen will review by March 31.

CIS – Serving the community and your NGO

  • Anne V will send a draft to David Hill for comments by February 24.

 

6. Next conference call/Meetings

  • Irene M will check with Board members re their availability for a conference call March 2006.
  • The next in-person meeting will be in Heidelberg on April 24 and 25. (Group dinner on April 23)
